EHR and CRM Integration

Introduction

Compass Pain and Wellness needed a better way to connect its operational and patient management systems. Important patient and appointment information lived inside DrChrono, while customer relationship management and internal workflow visibility sat inside HubSpot. Because these systems were not naturally connected in a way that supported Compass’s workflow, the team faced manual handling, reduced visibility, and a higher risk of delays or missed follow-up.

The primary aim of this project was to create a more unified and automated workflow between the client’s EHR and CRM systems so patient data, appointment information, and related operational actions could be surfaced inside HubSpot and used more efficiently by staff. The project also involved identifying what was technically possible within the DrChrono API and designing the solution around real platform constraints.

The Situation

Before the integration work, Compass had a gap between clinical system data and CRM visibility. Patient and appointment-related information needed to move between DrChrono and HubSpot, but the process was not fully connected.

This created issues such as:

  • The client’s EHR and CRM systems were not fully connected.
  • Staff risked having to manually transfer or verify information between systems.
  • There was limited visibility of patient and appointment-related activity inside HubSpot.
  • Operational follow-up depended on disconnected systems and workarounds.
  • The absence of an integrated process reduced efficiency and made scaling harder.

At the technical level, the project also required careful evaluation because DrChrono and HubSpot did not support every desired workflow equally. This meant Paradox first had to determine which parts of the intended integration could be automated cleanly and which parts would need a practical workaround or revised process.

Summary

Paradox supported Compass Pain and Wellness by evaluating, designing, and implementing an integration between DrChrono and HubSpot.
